  1. Collect numbers with permission: a QR code at the counter, a tick box on your booking form, a question at the till.

  3. Make every message useful: a new dish, a free slot tomorrow, a restock, a price for regulars.
  4. Send at decision time: before lunch, late afternoon, the day before the weekend.
  5. Put a way to stop in every marketing message, and honour it at once.

How to build a WhatsApp list your customers agreed to

  1. A QR code that opens a chat with you. A click-to-chat link such as https://wa.me/447700900123?text=Add%20me%20to%20offers opens WhatsApp with the message already typed. Print it as a QR code on the table, the mirror or the counter. The customer writes first, so they know your number and you know they want to hear from you.
  2. A tick box on bookings and checkout. "Send me offers on WhatsApp", left unticked, so the customer chooses.
  3. A question at the till or the chair. "Shall we send you our new arrivals on WhatsApp?" Note the yes in your system with the date.
  4. A small thank-you for joining, such as a free coffee or a small discount on the next visit. Keep it modest and honest.
  5. Record where each number came from and when the customer agreed.

Two habits make these work. First, one message, one idea: a photo of one dish beats a collage of twelve. Second, give a reason to act now that is true, such as "only six slots left on Thursday", never a made-up countdown.

Bring back repeat customers: a simple routine

  1. Export your customer list from your till, booking or loyalty system as Excel or CSV: name, number, date of last visit, and whether they agreed to WhatsApp messages.
  2. Split it into three groups: visited in the last month, visited one to three months ago, and not seen for three months or more.
  3. Write a different message for each group. Regulars get early news ("you hear about the new menu first"). The middle group gets a reminder. The lapsed group gets a welcome-back offer.
  4. Send once a week at most, and skip anyone who got a message in the last few days.
  5. Measure in a simple way. Ask staff to note when a customer mentions the message, or use a short code word in the offer.

A worked example: a salon has 800 customers on its list, and 150 of them have not been in for three months. If 1 in 10 of those comes back after a welcome-back message, that is 15 appointments from one afternoon's work.

When to send: timing by region and business

  • Restaurants: lunch offers mid-morning, before people decide where to eat; dinner offers late afternoon.
  • Salons and barbers: the day before a quiet day, so free slots can still fill.
  • Shops: new arrivals early in the week, offers just before the weekend.

Weekends differ by country. The UAE weekend has been Saturday and Sunday since 2022, so "before the weekend" means Friday. In Saudi Arabia the weekend is Friday and Saturday, so send on Thursday. In the UK and the USA, Friday works for weekend offers.

During Ramadan, restaurant offers move to iftar and suhoor, and opening hours change. Send iftar offers in the early afternoon when families plan the evening, and keep the evening for answering replies. In the Gulf, many customers prefer Arabic, English or both. Keep a language column in your list and send each customer one message in their language.

Good practice and local rules

WhatsApp is built for conversations people welcome, and it can limit accounts that many people block or report, so message people who know your business and expect to hear from you. In the UAE, the TDRA rules and the PDPL (Federal Decree-Law 45 of 2021) expect clear consent for marketing messages, the name of your business in the message, and a free way to opt out. Saudi Arabia's PDPL requires prior consent and an easy way to withdraw it. In the UK, PECR treats WhatsApp messages as electronic mail, so individual customers need consent or a valid soft opt-in.
