How to build the restaurant list, step by step
- Choose the food areas. In Dubai that might be JBR, Dubai Marina, Jumeirah, Al Karama, Deira, Business Bay and Al Barsha. In Riyadh start with Olaya. In London try Soho, Shoreditch and Camden; in Manchester the Northern Quarter and Ancoats; in Birmingham Digbeth and the Jewellery Quarter. In a US city, pick neighbourhoods, such as River North and the West Loop in Chicago, rather than the whole metro.
- Search each area with each wording. One search per area and wording gives you more complete results than one big city search.
- Include malls, food courts and office towers. Many cafes sit inside a mall or on the ground floor of a tower, listed under the building's address.
- Collect the published contacts. Look at the website's contact and reservations pages first, then the Instagram bio and the Facebook page. A reservations or events email often reaches the manager.
- Group chain branches. Five branches of the same burger brand are one buying decision. Keep the branches for a delivery or service business, but email the head office once for a supply deal.
- Clean the list. Remove places marked closed, remove repeats, and keep only rows with the contact type you will use.
- Export two lists. An email list for the places that publish an email, and a phone list for the rest.
Why many restaurants have a phone but no email
Independent cafes and small restaurants often run on a mobile phone and Instagram. The owner reads messages between services and may never check an info@ inbox. So expect your email list to be shorter than your phone list, and plan for both:
- Call between services. Mid-afternoon, after lunch and before dinner, is usually the quietest time. Never call during the lunch or dinner rush.
- Visit with a sample. For coffee, bakery and food suppliers, a short visit with a sample often works better than any email.
- Use email for chains and larger groups. Their head offices do read email, and their buyers expect it.
- Mind the seasons in the Gulf. During Ramadan, restaurant hours shift towards the evening and owners are very busy around iftar. It is a poor time for first contact, but a good time to plan for the weeks after Eid.
Good practice and local rules
Working week. The UAE weekend is Saturday and Sunday (since 2022); the Saudi weekend is Friday and Saturday; the UK and USA use Saturday and Sunday. Restaurants open every day, but owners and head offices keep office hours for buying decisions.
UAE. The TDRA rules on marketing messages and the UAE PDPL (Federal Decree-Law 45 of 2021) expect clear consent for marketing messages, a clear sender identity and a free opt-out. Start with a call, a visit or a one-to-one email, not a bulk campaign.
Saudi Arabia. The PDPL, overseen by SDAIA, requires prior consent for marketing messages and an easy way to withdraw it.
UK. Under PECR, many independent cafes are sole traders, and sole traders need consent (or a valid soft opt-in) before you send marketing email. Limited companies and LLPs can receive B2B marketing email without prior consent, but every message must identify you and carry a working opt-out. UK GDPR still applies to named people's data, such as a chef's own work email.
USA. The federal law on commercial email, enforced by the FTC, expects honest headers and subject lines, your physical postal address, and a working opt-out honoured within 10 business days.
