Multi-Location Clinic Lead Generation: Agency or In-House?
Multi-location clinic lead generation compared: hire an agency experienced with clinic groups or build it in-house. A comparison table, the questions to ask an agency and a per-branch list plan.

Multi-location clinic lead generation is the work of bringing new patients and new business clients to every branch of a clinic group, not only to the head office. A clinic group can hire an agency experienced with clinic groups, or it can run the work in-house with one person, one list per branch and a weekly routine. The right choice depends on control, cost, speed and local knowledge. This guide compares the two side by side, lists the questions to ask an agency before you sign, and gives you a per-branch list plan you can start this week.
The short answer
- Decide what you want more of: patients through local listings, or business clients such as companies, schools, insurers and brokers.
- An agency suits a group with budget, little time and nobody to own the work. In-house suits a group that wants control and already knows its areas.
- Whichever you choose, build one list per branch: the businesses in the areas around that branch.
- Keep every lead, call and contract in one shared CRM, so two branches never chase the same company.
- Review results each month by branch, not for the group as a whole.
Who does a clinic group sell to?
A clinic group has two kinds of customer, and they need different work.
Patients find a clinic through its local listing, reviews, a search for "clinic near me" and word of mouth. For patients the job is local: each branch needs its own listing with the right hours, phone number, photos and a steady flow of reviews. Clinic lead generation for patients is about being easy to find and easy to book.
Business clients are organisations that pay the clinic to look after a group of people. A corporate wellness contract is an agreement where an employer pays a clinic to run health checks, vaccinations, consultations or an on-site clinic day for its staff. Other business clients include:
- companies near each branch that need pre-employment medicals, annual checks or sick-note services
- schools and nurseries that need vaccination days, sports medicals and a doctor on call
- insurers and brokers that decide which clinics join their network
- hotels, contractors and factories with large shift teams
Healthcare lead generation for business clients looks like any other B2B sale: a list, a message, a call, a visit and a contract. Our guide to healthcare and clinic leads covers the single-clinic version of this work.
What does an agency do for clinic lead generation?
An agency experienced with clinic groups usually offers some mix of the following:
- managing each branch's listing and reviews
- running paid adverts for patient bookings, with a landing page per branch
- outbound work to companies, insurers and brokers, by email and phone
- a monthly report of enquiries and bookings
What you still do yourself, with any agency: answer the phone, reply to enquiries the same day, quote, meet the company's HR manager, sign the contract and deliver the service. An agency can fill the top of the funnel; it cannot run your reception desk.
Agency or in-house: how do they compare?
| Point | Agency | In-house |
|---|---|---|
| Control | You approve, they execute; changes go through an account manager | You decide and change things the same day |
| Cost in words | A monthly fee that runs whether or not enquiries come, plus any advert budget | One person's time plus software; it grows only when you hire |
| Speed to start | Weeks: onboarding, access to accounts, learning the branches | Days: the team already knows the branches and the local companies |
| Local knowledge | Has to be taught, branch by branch | Already in the building; the branch manager knows the schools and offices nearby |
| Reporting | Depends on the agency; ask for it by branch | You see every lead, call and reply yourself |
| Risk | Lock-in contracts; lists and advert accounts may stay with the agency | A key person leaves and the routine stops unless it is written down |

Which questions should you ask an agency experienced with multi-location clinic lead generation?
Ask these before you sign anything.
- Which clinic groups have you worked with, and may we speak to one of them?
- How will you treat each branch differently? A branch beside a business park and a branch beside three schools need different lists and different messages.
- Who owns the lists, the advert accounts, the landing pages and the reviews when we leave?
- How do you report, how often, and can we see results by branch?
- What happens to an enquiry that arrives at 9 pm on a Friday?
- How do you handle patient data and the rules on marketing messages in our country?
- What is the notice period, and what do we pay if we stop early?
On the sixth question: patient data is sensitive data under the UK GDPR, the UAE PDPL and the Saudi PDPL, and marketing messages to patients need consent in most countries. Business outreach to a company's HR manager is lighter, but it still needs a clear sender and a working opt-out. This is general information, not legal advice; check the current rules for the country you send to.
How do you run it in-house: a per-branch list plan
Say you run four clinics in Dubai: Jumeirah, Business Bay, Al Barsha and Mirdif. You want corporate wellness and school contracts, and you have one person, the group marketing coordinator, with two hours a day. Here is the plan.
- Draw a circle around each branch. List the areas within a fifteen-minute drive: for Business Bay, say Downtown Dubai, DIFC and Al Quoz; for Mirdif, Al Warqa, Al Rashidiya and Dubai Silicon Oasis.
- Pick the business types per branch. Business Bay: companies, law firms, consultancies and hotels. Mirdif: schools, nurseries and gyms. Al Barsha: hotels, schools, car showrooms and contractors.
- Build one list per branch with business name, phone, email, website and address. Aim for a list you can finish in a month, say 150 to 250 businesses per branch.
- Give insurers and brokers to head office. They cover the whole group, so one person speaks to them once, with a group-wide offer.
- Write one short message per business type. A school gets an offer of a free vaccination awareness morning; a company gets an on-site health check day for its staff. Five sentences each.
- Send, then call. Email on Monday, call on Thursday, and send a second message two weeks later.
- Log every contact in one CRM with a branch column. A company near two branches goes to the branch closest to its office.
How do you stop branches chasing the same company?
Shared lists cause the most friction in a group. Set three rules before the first message goes out.
- One owner per account. The first branch to log a company keeps it. If a company has sites near two branches, head office owns it.
- One CRM, one branch column. Each branch sees its own leads; head office sees all of them. Without this, two branch managers will ring the same HR manager in the same week.
- One suppression list. When a company says no, every branch sees it, so the same company is not asked again a month later from a different number.
Our guide to dental clinic leads shows the same list-and-call routine for a dental group, where the same three rules apply.
Where Rovero fits
Rovero is B2B lead generation software for Windows. For a clinic group, its job is the business-client side: the companies, schools, hotels and contractors around each branch. Type the city and Rovero shows its list of areas and neighbourhoods, so the coordinator ticks the areas around one branch, picks the business type, and gets a list for that branch. Save the city as a favourite and the area lists stay in the account for the next branch.
Each lead comes with the address, phone numbers, website, rating and reviews, and the emails and extra mobile numbers the business publishes on its own website and social pages. Each search exports to Excel or CSV, so one file per branch is the natural result, and every business is checked against everything already saved, so the Business Bay list and the Downtown list do not overlap.
One honest limit: Rovero finds businesses with a public listing, so it builds the company, school and hotel lists; it does not find patients, and a company with no listing and no website will not appear.
Frequently asked questions
Should a clinic group hire an agency for multi-location clinic lead generation?
Hire an agency when nobody in the group has two hours a day for the work and you have a budget that can run for months without quick results. Run it in-house when you want control, want to keep the lists, and have branch managers who know their areas. Many groups do both: an agency for patient adverts and in-house for business clients.
What is healthcare lead generation?
Healthcare lead generation is the work of finding and contacting people and organisations who could become patients or business clients of a clinic, hospital or practice. For business clients it is a list of companies, schools and insurers, a short message and a follow-up call.
How many business leads does one clinic branch need?
Start with a list of 150 to 250 businesses within a short drive of the branch. That is enough to fill a month of emails and calls for one person, and small enough that every business on it gets a proper follow-up.
Can one person handle lead generation for several clinics?
Yes, if the work is split by branch and the routine is fixed. One coordinator with one list per branch, a two-hour daily slot and a shared CRM can cover four or five branches. Beyond that, give each branch manager their own list.
Next step
Pick one branch today, write down the areas within a fifteen-minute drive of it, and list the ten largest employers and schools in those areas. That is the start of the first branch list. To build the rest of the lists the same way, watch a demo of Rovero.
Try Rovero
Rovero is smart, automated B2B lead generation software for Windows: choose a business type and a city, and it searches the city area by area, collects the emails and phone numbers businesses publish, and exports a duplicate-free lead list to Excel, CSV or your CRM.
