Campaigns that fall flat usually skip the planning: the list is mixed, the message tries to say everything, and a brand-new number is asked to send hundreds of messages on its first day.   1. Set one goal. "Fill 20 service slots next week" is a goal. "Promote the brand" is not, because you cannot tell whether it worked.
  2. Choose the audience. Pick the contacts for whom the message is true: people who bought in the last six months, people who asked for a price, people who registered for an event. A smaller group that fits beats your whole list.
  3. Pick the format. A photo for a product, a PDF for a menu or price list, a poll for a choice, plain text for a reminder.
  4. Write the message. Name first, reason second, one clear next step. Two or three versions keep it from reading like a copy.
  5. Choose the sending numbers and check each one is linked and healthy.
  6. Estimate the time. Contacts divided by what your numbers can send in a day tells you how many days the campaign needs.
  7. Test it. Send it to yourself and read it on a phone, including a contact with an empty name field.

Give a new number a gentle start

If the campaign will go out from a number that is new to WhatsApp, or new to sending in volume, start slowly. A number that sends a hundred marketing messages on its first day does not behave like a person, and the people who receive them have never seen it before.

Before the first send, put the number in a real phone, fill in the profile with your logo, business name and a short description, and use it for normal chats for a few days. Then raise the sending a little each day:

  • Day one: about 20 messages, to the people most likely to reply, such as recent buyers.
  • Each day after: about 10 more, while replies look healthy and failures stay low.
  • Day 19: at that rate, a new number reaches 200 a day.

If messages start failing or people react badly, hold the count where it is for a few days instead of pushing on. If an offer cannot wait, share the work with a number that is already settled rather than rushing the new one.

When to send: timing and region notes

Send in the recipient's working hours and keep late evenings for replies, not campaigns. The UAE weekend has been Saturday and Sunday since 2022, Saudi Arabia's weekend is Friday and Saturday, and the UK and the USA rest on Saturday and Sunday. US lists often span several time zones, so a 10 am send from New York reaches Los Angeles at 7 am. In the Gulf, write to each customer in the language they use with you, English or Arabic.

What to measure during and after the campaign

While it runs, watch what has gone out, been delivered, read and replied to, and what failed. Afterwards, look at four things:

  • Replies per hundred messages, the clearest sign the message fitted the group.
  • Opt-outs. A jump means the group, the offer or the timing was wrong.
  • Versions. Which wording got more replies; keep the best two for next time.
  • Outcome. Bookings, orders or calls, noted by staff or tracked with a short code word in the offer.

Write down three lines after every campaign: what you sent, to whom, and what happened. By the third campaign you will know your best day, format and wording.

Good practice and local rules

WhatsApp is built for conversations people welcome, and it can limit accounts that many people block or report, so message people who know your business and expect to hear from you. End marketing messages with a line such as "Reply STOP to stop these messages" and honour it on every number you use. In the UAE, the TDRA rules and the PDPL (Federal Decree-Law 45 of 2021) expect clear consent for marketing messages, your business name and a free opt-out. Saudi Arabia's PDPL requires prior consent and an easy way to withdraw it. In the UK, PECR treats WhatsApp messages like e-mail, and in the USA you should get written consent before automated marketing texts.
