WhatsApp Follow-Up Messages After a Quote: 20 Templates

WhatsApp follow-up message samples for after a quotation, a missed reply, a meeting, a lost deal and a won deal: 20 templates, a timing table, the rules that get replies and when to stop.

A WhatsApp follow-up message is a short message you send after a quote, a meeting or a missed reply to move a deal one step forward. The ones that get answers are two or three lines long, name the thing you sent, give one new reason to reply and ask one easy question. Long follow-ups that repeat the whole offer get ignored, and daily ones get blocked. This guide gives a timing table, 20 follow-up message samples grouped by stage, the rules behind them, the personal fields that make them read as typed, and the point at which you stop.

The short answer

  1. Send the first follow-up two or three days after the quote, not the next morning.
  2. Keep it to three lines: a reminder of what you sent, one new reason, one question.
  3. Make it easy to say no, because a quick no beats weeks of silence.
  4. Space the later ones further apart, with a new angle each time.
  5. After three unanswered follow-ups, send a polite closing message and stop.

When should you send a follow-up message after a quotation?

Too soon and you look anxious; too late and the client has chosen someone else. The sequence below suits most quotes for services; for a fast retail quote, halve the gaps.

Day Purpose Length Note
Day 0 Send the quote and say when you will check in 2 lines Sets the expectation for the follow-up
Day 2 or 3 Check the quote arrived and invite questions 2 to 3 lines The most important follow-up
Day 7 Add one new reason: a detail, an option, a date 3 lines New information, not a repeat
Day 14 Ask directly whether to keep the quote open 2 lines Easy to say no
Day 21 to 30 Close politely and leave the door open 2 to 3 lines The last message in the sequence
Months later A real reason only: a new service, a season, a change 3 lines Months apart, not weeks

Send in the client's working hours; a follow-up at nine in the evening reads as pressure, however polite.

What makes a WhatsApp follow-up message get a reply?

Five rules:

  1. Short. Three lines on a phone screen. If the client needs the detail, they have the quote.
  2. One question. "Shall I hold the dates?" gets an answer. "Any thoughts, and when can we talk?" gets silence.
  3. Easy to say no. Write "If the timing is wrong, just say so and I will stop" and mean it. People reply to messages that let them off the hook.
  4. A new reason each time. A delivery slot, an answer to a question they asked, a sample you can drop off. Never "just checking in" twice.
  5. Their details, not yours. The client's name, the service they asked for and the figure from the quote, so the message could only be for them.

Replace the fields in double braces with the client's details. The word after the bar, as in {{first_name|there}}, is used when the field is empty.

After the quote

Hi {{first_name|there}}, the quote for {{service}} went to your e-mail this morning. Did it come through, and is anything unclear?
Hi {{first_name|there}}, quick one on the {{service}} quote: I left the start date open. Would {{date_option}} suit you, or is later better?
Hi {{first_name|there}}, the price in the quote holds until {{expiry_date}}. If you need longer to decide, tell me and I will extend it.
Hi {{first_name|there}}, one thing I forgot to mention about the {{service}} quote: {{useful_detail}}. Happy to explain on a call if that helps.
Hi {{first_name|there}}, you asked whether we could include {{extra_item}}. We can, and it changes the quote by {{small_change}}. Shall I send the updated version?

After no reply

Hi {{first_name|there}}, I know quotes pile up. Is {{service}} still on your list for this month, or should I check back later in the year?
Hi {{first_name|there}}, a client in {{industry}} asked me this week: {{common_question}}. The short answer is {{short_answer}}. Does that help with your decision?
Hi {{first_name|there}}, I will keep the {{service}} quote open until {{date}}. If the timing is wrong, just say so and I will stop messaging.
Hi {{first_name|there}}, I have a slot on {{date}} that would suit the {{service}} job well. Shall I pencil it in while you decide?
Hi {{first_name|there}}, this is my last message about the {{service}} quote. If things change, reply any time and I will pick it up where we left off.

After a meeting

Hi {{first_name|there}}, thank you for your time today. As agreed, I will send the revised quote for {{service}} by {{date}}. Is there anyone else who should receive it?
Hi {{first_name|there}}, good to meet you. You raised {{concern}} in the meeting; I have checked, and {{answer}}. Shall we go ahead on that basis?
Hi {{first_name|there}}, the two points we settled: {{point_1}} and {{point_2}}. Reply OK if that matches your notes and I will prepare the paperwork.

After a lost deal

Hi {{first_name|there}}, thank you for letting me know you chose another supplier. Could you tell me in one line what decided it? It helps me improve the next quote.
Hi {{first_name|there}}, no problem at all about the {{service}} decision. If the new arrangement does not work out, I am one message away.
Hi {{first_name|there}}, it has been a few months since we spoke about {{service}}. We have since added {{new_thing}}. Worth a fresh quote, or is everything running well?

After a won deal

Hi {{first_name|there}}, great news, thank you. The next step is {{first_step}} on {{date}}. The invoice follows today, and you can reply here with any question.
Hi {{first_name|there}}, {{service}} starts on {{date}}. Please have {{checklist_item}} ready. Is there anything I should know about access or timing?
Hi {{first_name|there}}, the {{service}} work finished today. How did it go from your side? If anything needs a second look, tell me and I will arrange it this week.
Hi {{first_name|there}}, it has been a month since {{service}}. If a colleague needs the same, feel free to pass on this number.

How do you make follow-ups read as typed, not sent?

Three habits keep a follow-up personal:

  1. Use personal fields for the name, the service and the quote figure, with a fallback word for empty cells.
  2. Write two or three versions of each follow-up, so two clients who compare notes do not see the same text.
  3. Send in small batches, a few dozen a day per number, with a natural pause between messages.

A worked example: say you sell office cleaning contracts in Dubai and sent 40 quotes last month. On day three, each client gets a two-line check-in with their name and the number of desks from their quote; eleven reply and two sign. On day seven, the 29 silent ones get the "new reason" message with a start date. On day fourteen, the rest get the direct question, and six say the timing is wrong, which is useful: they go into a "later in the year" group rather than a dead file. On day 25 the remainder get the polite close, and no client has had more than four messages. For more on the fields themselves, see personalised WhatsApp messages.

When should you stop following up?

Stop after the polite close, or sooner if the client says no, asks you to stop, or never opens the chat. WhatsApp can limit accounts that many people block or report, so message people who expect you: a client who asked for a quote expects a few follow-ups, not a daily nudge. Keep a stop line in anything sent to more than a handful of people, and honour "stop" the same day.

Where Nitro fits

Nitro is WhatsApp campaign software for Windows that sends follow-ups from your own WhatsApp numbers, linked the way WhatsApp Web is. Import your quotes list from Excel or CSV, and personal fields such as {{first_name|there}}, plus your own columns such as the quote number, fill each message. Spin text gives each follow-up a few variants, and a test send shows the result on your own phone.

Schedule each stage for the client's working hours in their own time zone, and skip anyone who got a message in the last few days. Replies from every number arrive in one inbox, so a "yes" on day seven is seen the same morning, and STOP or a similar word puts a client on the opt-out list with an automatic confirmation.

One honest limit: sending stops while the PC sleeps, so a day-three follow-up scheduled for 9 am needs the PC awake at 9 am.

Frequently asked questions

What is a good WhatsApp follow-up message sample after a quotation?

The day-three check-in: "Hi {{first_name|there}}, the quote for {{service}} went over on Monday. Did it come through, and is anything unclear?" Two lines, the service named, one question, sent in working hours.

How many times should I follow up on WhatsApp?

Three or four messages over about a month is enough for most quotes: a check-in, one new reason, a direct question and a polite close. After that, move the client to a group that hears from you a few months later, with a real reason.

How long should a follow-up message to a client be?

Two or three lines. Name what you sent, add one new reason to reply, and ask one question that can be answered with a word. The quote itself holds the detail.

Should I follow up on WhatsApp or by e-mail?

Send the quote by e-mail, where it can be filed and forwarded, and follow up on WhatsApp, where it is read the same hour. If the client first contacted you on WhatsApp, both can go there.

Next step

Pick the five quotes you sent most recently and send each client the day-three check-in today, with their name and the service in the message. To run the whole sequence from your own numbers with fields, a schedule and one inbox, see Nitro.
