How to Remove Duplicate Leads and Keep Your Lead List Clean
Remove duplicate leads in Excel and your CRM: match on phone, website and cleaned names, handle branches the right way and stop duplicates coming back.

Duplicate leads cost more than wasted rows. Two sales reps call the same office on the same morning, a prospect gets the same email twice, and a business that asked you to stop hears from you again because its name was spelled differently in a second row. This guide shows how to remove duplicate leads in Excel, which key to match on, how to treat branches, and how to keep a clean lead list in your CRM so duplicates do not come back.
The short answer
- Pick a match key: the phone number in international format, the website domain, or a cleaned business name plus area.
- Build that key in a helper column so small differences in spelling and format disappear.
- Highlight or count the repeats, keep the most complete row, and copy any missing details into it.
- Keep branches as separate rows when each has its own phone and address.
- Check every new list against your master list and your opt-out list before you import it.
Why does lead data quality matter?
Take a worked example. Say you build a list from three overlapping searches and end up with 1,000 rows. If 1 in 5 rows is a repeat, that is 200 extra calls, 200 extra emails and 200 chances to annoy someone. Duplicates also:
- make your reports look better than they are (more "leads", not more businesses)
- start arguments over who owns an account
- break opt-outs, because the opt-out was recorded on one row and not the other
- raise costs in any tool that charges per contact
What counts as a duplicate lead?
Not every repeated name is a duplicate, and not every duplicate looks like one. This table covers the common cases.

The business centre case catches many people. In Dubai, Riyadh and London, dozens of small companies can sit behind one shared reception line. If you match on phone alone, you will wrongly merge them. Use phone plus name, or phone plus website.
How to clean the match keys
Phone numbers
Convert every number to international format, digits only. Some examples, with made-up numbers:
- UAE landline 04 123 4567 becomes 97141234567; UAE mobile 050 123 4567 becomes 971501234567
- Saudi mobile 055 123 4567 becomes 966551234567
- UK mobile 07700 900123 becomes 447700900123
- US number (212) 555-0100 becomes 12125550100
In Excel, strip spaces, dashes and brackets first, then fix the start of the number:

Change "971" to your list's country code (966 for Saudi Arabia, 44 for the UK). US numbers have no leading zero, so add a 1 in front of 10-digit numbers instead.
Website domains
Strip the start and end of each address so every version of a website becomes the same domain:

Business names
Lower-case the name, trim spaces, change "&" to "and", and remove legal endings. Common ones by region: LLC, L.L.C., FZE, FZ-LLC and FZCO in the UAE; Est. and Co. in Saudi Arabia; W.L.L. in Bahrain, Qatar and Kuwait; Ltd, Limited, PLC and LLP in the UK; Inc, Corp and LLC in the USA. Then join the cleaned name with the area to make a name key.
How to remove duplicate leads in Excel, step by step
- Copy the sheet first. Never clean the only copy of your list.
- Add the helper columns above: phone key, domain key and name key.
- Highlight repeats. Select the phone key column, then Home, Conditional Formatting, Highlight Cells Rules, Duplicate Values.
- Count them. In a new column,
=COUNTIF(E:E,E2)shows how many times each key appears. Anything above 1 needs a look. - Sort by the key so repeats sit together. Keep the most complete row and copy any missing email or mobile number into it.
- Remove the rest. Data, Remove Duplicates, tick only the key column. In Excel 365,
=UNIQUE()gives you a de-duplicated copy without touching the original. - Repeat with the domain key, then review name-key matches by hand, because names are the least reliable key.
How to stop CRM duplicates coming back
Cleaning once is not enough. Duplicates return with every import unless you block them:
- Choose one unique field (domain or cleaned phone) and fill it for every record before import.
- Check new imports against existing records. Most CRMs have a duplicate check or merge tool; turn it on.
- Merge, do not delete. Merging keeps the notes, calls and history from both records.
- Set an owner rule so a business found by two reps belongs to the first one who logged it.

Opt-outs must survive the clean-up
When a business asks you to stop, add its phone, email and domain to a separate suppression list, and check every new list against that list before you send anything. A second row with a different spelling is the most common way an opted-out business hears from you again.
The rules expect this. In the UK, PECR requires every marketing message to identify the sender and carry a working opt-out, and the ICO enforces it. In the USA, the federal law on commercial email expects opt-outs to be honoured within 10 business days. UAE rules (the TDRA rules on marketing messages and the PDPL) expect a free opt-out, and Saudi Arabia's PDPL expects an easy way to withdraw consent.
