## The short answer

1. Keep one row per contact and one column per field: name, phone, group or source, and the date they agreed to hear from you.
2. Store phone numbers as text, in international format, digits only, with no plus sign, spaces or leading zero.
3. Add the country code to local numbers and remove the trunk zero (the 0 at the start of local UAE, Saudi and UK numbers).
4. Remove duplicates and landlines.
5. Keep only people who expect your messages, save as .xlsx or CSV UTF-8, and import.

## Why phone numbers break in Excel

Excel was built for sums, not phone numbers, and it changes them without asking.

- **Scientific notation.** A long number such as a full UAE mobile shows as 9.71501E+11. If you save that sheet as CSV, the file can keep the short form and the real digits are lost.
- **Lost leading zeros.** Type 0501234567 into a number cell and Excel stores 501234567.
- **Mixed formats.** The same column holds +971 50..., 00971 50..., 050... and 50..., depending on who typed them.
- **Landlines.** Office numbers usually cannot receive WhatsApp messages, and they waste your checks.
- **Duplicates.** The same customer saved twice, once with spaces and once without.
- **Broken names.** A plain CSV can turn Arabic or other non-Latin names into question marks. Excel's "CSV UTF-8 (Comma delimited)" option keeps them.

## How to format phone numbers for WhatsApp

WhatsApp numbers use the full international format: country code, then the number, with no plus sign, spaces or leading zero. The table shows what that looks like for the countries our readers message most. X stands for any digit.

The pattern to remember: in the UAE, Saudi Arabia and the UK you drop the 0 when you add the country code. Qatar, Kuwait, Bahrain and Oman have no leading 0 to drop. US numbers have no leading 0 either; you add 1 in front.

## Excel to WhatsApp: clean your contact list step by step

Put the raw numbers in column A and build each step in the next column, so you can always see the original.

1. **Format the phone column as text** before you paste anything: select the column, choose Format Cells, then Text. This stops the scientific notation and the lost zeros.
2. **Strip spaces, dashes, brackets and plus signs** (result in column B):

5. **Remove the hidden zero.** People often write +971 (0)50 or +44 (0)7, which becomes 9710... or 440... after cleaning. This removes that zero for UAE numbers (result in column E):

6. **Flag landlines.** In the UAE, mobiles start 9715 once the code is added; numbers starting 9712, 9713, 9714, 9716, 9717 or 9719 are landlines. Saudi mobiles start 9665 and UK mobiles start 447. US numbers do not show the difference, so leave that to a WhatsApp check.

7. **Remove duplicates** with Data, then Remove Duplicates, on the cleaned column.
8. **Add a source column** (website form, shop counter, past order) and the date each person agreed.
9. **Save** as .xlsx, or as CSV UTF-8 if your names include Arabic or other non-Latin letters.

If your list mixes countries, add a country column and run step 4 per country, or sort by country and correct each block separately.

## Keep only contacts who expect your messages

The import is the best moment to make your list honest. Leave out bought lists, numbers copied from groups, people who asked you to stop, and old numbers nobody has used for years. A clean list of 800 people who know you is worth more than 8,000 strangers.
